Think Thrive Ltd is the data controller for the personal information described in this policy. This means we decide how and why your data is used, and we are responsible for keeping it safe.
What Information We Collect
We collect information in a small number of ways, and only what we need to run the practice properly and safely.
Enquiry form
When you contact us through the website enquiry form, we collect your name, email address, phone number, and any details you share about your child, including age and the concerns that have prompted you to get in touch.
Booking and appointment requests
When you request or book an appointment, we collect the information above along with your appointment preferences, and any scheduling or clinical notes needed to prepare for and deliver the session.
Clinical and assessment information
Once you become a client, we hold more detailed information as part of assessment and therapy, including developmental history, primitive reflex assessment results, Tomatis programme details, and progress notes. This is special category health data under UK GDPR, and we only collect and hold it with your explicit, informed consent, given as part of our assessment and consent process.
Invoicing information
As we invoice prior to appointment and accept payment by bank transfer only, we hold the billing name and contact details needed to raise an invoice. We do not collect or store card details, as we do not take card payments.
Website analytics and advertising data
When you browse our website, Google Analytics and Google Ads may automatically collect technical information such as your IP address, device and browser type, pages visited, and how you arrived at the site, including whether you clicked through from a Google Ads campaign. This is covered in more detail below.
How We Use Your Information
We use your information to:
- Respond to enquiries and answer questions about INPP reflex integration, Tomatis sound therapy, or the practice generally.
- Arrange, prepare for, and deliver appointments and therapy programmes.
- Maintain accurate clinical records in line with good professional practice as an INPP Licentiate and Tomatis Level 2 Practitioner.
- Raise invoices and manage payment by bank transfer.
- Understand how visitors use our website, and measure whether our Google Ads campaigns are reaching the right people, so we can run the practice sustainably and reach families who may benefit from our services.
We do not sell your data, and we do not use your information for any purpose beyond running the practice and, where you have agreed, understanding and improving our website and advertising.
Our Legal Basis For Using Your Information
Contact and appointment details are used on the basis of taking steps prior to, and performing, a contract with you (or the legitimate interest of responding helpfully to enquiries where no appointment yet exists).
Clinical and health information is used on the basis of your explicit consent, which you can withdraw at any time, though this may affect our ability to continue supporting your child's programme.
Website analytics and advertising cookies are used on the basis of your consent, given through the cookie banner on our website. You can withdraw this consent at any time, as explained below.
Google Ads And Google Analytics
We use Google Ads and Google Analytics to understand how people find our website and to measure the effectiveness of our advertising.
Google Ads conversion tracking uses a cookie to tell us when someone who clicked one of our ads goes on to contact us or book an appointment. This helps us understand which campaigns are genuinely helpful to local families, rather than a general measure of interest.
Google Analytics collects information about how visitors use our website, such as pages viewed and time spent on site, using cookies and similar technologies.
Google may combine this information with data it holds from other websites you have visited. Google acts as a data processor for the information collected in this way, and its own use of data is governed by the Google Privacy Policy.
You can control or opt out of this tracking at any time:
- Through the cookie banner on our website, where you can decline analytics and advertising cookies while still accessing the site.
- Through Google's own Ads Settings at adssettings.google.com, where you can turn off personalised advertising.
- By installing the Google Analytics opt-out browser add-on, available from Google.
- Through your browser settings, where you can block or delete cookies generally.
How Long We Keep Your Information
Enquiry details that do not lead to a booking are kept for up to twelve months, then deleted.
Clinical records for clients are kept in line with recognised good practice for allied health and therapy records. As a general position, we retain records for children until they reach twenty five years of age, and for adult clients for a minimum of ten years after the end of our work together, after which they are securely deleted.
Invoicing records are kept for as long as required by HMRC record-keeping rules, currently six years.
Analytics and advertising data held by Google is subject to Google's own retention settings, which we have set to expire after a reasonable period rather than being kept indefinitely.
International Data Transfers
Google may process data outside the UK. Where this happens, Google relies on approved safeguards, including the UK's International Data Transfer Addendum to the EU Standard Contractual Clauses, to ensure your data remains protected to UK standards.
Children's Privacy
Think Thrive works with children as part of our core practice. We collect information about a child from a parent or guardian, who provides consent on the child's behalf. We take particular care with this information given its sensitivity, and it is used solely to support the child's assessment and therapy programme.
Your Rights
Under UK GDPR, you have the right to:
- Ask what personal information we hold about you and receive a copy of it.
- Ask us to correct information that is inaccurate or incomplete.
- Ask us to delete your information, where there is no legal or clinical reason for us to keep it.
- Ask us to restrict how we use your information.
- Object to our use of your information, including for marketing or analytics.
- Withdraw consent at any time, where our use of your information relies on consent.
To exercise any of these rights, please contact rebecca@thinkthrive.co.uk. We will respond within one month.
If you remain unhappy with how we have handled your information, you have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk.
Keeping Your Information Secure
We take reasonable technical and organisational steps to protect your personal information, including restricting access to client records to those who need it to deliver your care, and using secure systems for storing clinical and booking information.
Changes To This Policy
We may update this policy from time to time, for example if we introduce new tools or services. The date at the top of this page shows when it was last revised. We recommend checking back periodically.
